Travel Agency Cancellation Policy

1. General Policy

1.1. Booking Confirmation

Upon booking confirmation, a non-refundable deposit of 20 % of the total trip cost is required. This deposit secures your reservation and is applied towards the total trip cost.

 

1.2. Payment Schedule

The remaining balance is due 15 days prior to the departure date. Failure to pay the balance by the due date may result in cancellation of the reservation and forfeiture of the deposit.

 

2. Cancellation by Client

2.1. Cancellation Fees

Cancellations must be submitted in writing. The following cancellation fees apply based on the time of cancellation before the departure date:

 

60+ days: Loss of deposit

30-59 days: [50]% of the total trip cost

15-29 days: [75]% of the total trip cost

0-14 days: [100]% of the total trip cost

2.2. Partial Cancellations

Partial cancellations (e.g., reduction in the number of travelers) may incur fees. Please contact our office for details.

 

3. Cancellation by the Agency

3.1. Insufficient Enrollment

If a tour is canceled due to insufficient enrollment, clients will be notified at least 25 days before the departure date and will receive a full refund, including the deposit.

 

3.2. Unforeseen Circumstances

In the event of unforeseen circumstances (e.g., natural disasters, political instability), the agency reserves the right to cancel the trip. Clients will be offered an alternative trip or a full refund.

 

4. Changes to Bookings

4.1. Client-Initiated Changes

Requests for changes to bookings must be submitted in writing. Approval of changes is subject to availability and may incur additional fees.

 

4.2. Agency-Initiated Changes

The agency reserves the right to make minor changes to itineraries. Clients will be notified of major changes and given the option to accept the changes, select an alternative trip, or receive a full refund.

 

5. Travel Insurance

5.1. Recommendation

We strongly recommend purchasing travel insurance to cover potential trip cancellations, medical emergencies, and other unforeseen events.

 

5.2. Agency Responsibility

The agency is not responsible for any additional costs or losses incurred as a result of clients not purchasing travel insurance.

 

6. Refund Process

6.1. Refund Timeline

Refunds will be processed within 25 days of receipt of the written cancellation notice.

 

6.2. Payment Method

Refunds will be issued using the same method of payment used for the booking.
